Registration forms
A registration form is the page athletes, parents and clubs fill in. You build it by dragging blocks onto a canvas, then publish it, which produces a share link and a QR code.
A form is always attached to one tournament. The tournament’s disciplines, age groups, routines and weight categories become the options an applicant can choose from, so the same form cannot be reused for a different competition.
You will find everything under Forms in the sidebar, split into Drafts, Published Forms and Form Templates. A role with no form permissions sees “Your role does not include access to registration forms.” instead of the whole section.
Starting a new form
Section titled “Starting a new form”-
Go to Forms → Published Forms or Drafts, then press New Form. This button is hidden, not greyed out, unless you have the permission to create forms — if you cannot see it, that is why.

Set Up Your Form opens at Step 1 of 2. Under Who is this form for? choose one:
Option What it means Individual One athlete per submission. Team A team with several members per submission. Both Registrants choose individual or team themselves. Next stays unavailable until you pick one. The note underneath is worth reading: “You can change this any time while the form is a draft — it locks when you publish.”

Step 2 is Link to a tournament (optional). Pick one from the searchable list, or press Continue to skip. Linking now is what makes the tournament-driven smart fields offer real options while you build. You can link later from the toolbar.
Closing step 1 with the X abandons the form entirely — nothing has been saved yet. Closing step 2 with the X keeps your registration type and skips the tournament.
The builder
Section titled “The builder”The top row holds Back to Forms, the save indicator, then Preview (Ctrl+P), Save Draft (Ctrl+S), Save as Template and the blue Publish button.
The second row holds the form name — click it to rename, Enter to confirm, Esc to cancel — the tournament chip, the registration-type chip, the Design and Translations tabs, Undo (Ctrl+Z) and Redo (Ctrl+Shift+Z), the Desktop / Tablet / Mobile preview toggles, and a scope filter for showing only the individual or only the team path.
Autosave runs every 30 seconds while the form is a draft, and only starts once you have finished the setup dialog. The indicator tells you where you stand: “Saved 2 minutes ago” in green, “Saving…”, “Offline — changes will sync” in amber, or “Edited elsewhere — reload to continue” in red.
What you can drag on
Section titled “What you can drag on”The left panel has two tabs: Smart and Fields.
Smart fields
Section titled “Smart fields”Smart fields pull their options live from the linked tournament, which is why editing the tournament later never requires republishing the form.

Two identity fields sit under Pre-built: Gender (“Male / Female — used for weight filtering”) and Date of Birth (“Used to derive age group”). Once placed, their type is locked and the properties panel says they are identified across all submissions.
Every smart and pre-built field can be placed once only. A second attempt says “A “Date of Birth” field is already on the form.“ and the card greys out with the tooltip “Already added (singleton)”.
Under Popups you get Declaration (a checkbox gate before submit), Terms (accept to continue) and Info Popup (a button-triggered modal).
Ordinary questions
Section titled “Ordinary questions”The Fields tab holds the questions you write yourself: Text Input, Text Area, Number, Email, Phone, Date, Time, Dropdown, Multi-Select, Checkbox, Radio, File Upload, Star Rating, Slider, Heading, Divider, Paragraph and Spacer.
Field settings
Section titled “Field settings”Click any block to open its settings on the right. Every field has a Label, Placeholder, Helper Text and a Required switch. Dropdown, Multi-Select and Radio blocks get an options editor.
File Upload blocks add two settings:
- Accepted File Types — tick boxes for PDF, Images (JPG, PNG) and Word Documents. PDF and images are on by default.
- Max File Size (MB) — 10 by default, and 10 MB is a hard ceiling. Typing anything larger is silently pulled back down to 10. You can only make a question stricter, never more generous.
You can also set Min Length / Max Length on text, Min Value / Max Value on numbers, a Custom Error Message, a Size and a Label Position.
Three switches that change how staff work
Section titled “Three switches that change how staff work”These decide what your own team can do with an answer once it arrives.

Layout blocks and file uploads cannot be made searchable or filterable, and the panel explains why: “Uploaded files are never read or searched — only what applicants type is searchable. Staff can still open the file from the application.” Dates and numbers are filtered by range rather than typed into the search box.
Conditional Logic is available on any field. Switch on Enable conditions, choose an action, choose whether ALL or ANY of your rules must match, and build the rules against other fields.
Sections and repeatable sections
Section titled “Sections and repeatable sections”A section carries a Section Title, an optional Description and a Start Collapsed switch. On a form that allows both paths, Visible in decides whether the section appears for Both, Individual or Team. Sections have their own conditional logic.
Repeatable is the one that matters on team forms: “In team registration, this section repeats once per competitor.” It is not offered on individual-only forms. On a team form, this is where the per-athlete questions go — and the athlete smart fields must live inside it.
If you switch an Individual+Team form down to Individual only while repeatable sections exist, you are asked “Remove repeatable sections?” The fields stay; only the repeat setting is dropped.
The form header
Section titled “The form header”Click the banner area at the top of the canvas to edit what applicants read before they start.
- Banner Image — upload or paste a URL. Maximum 5 MB, JPG, PNG or WebP. Drag the focal point to choose what shows: “the white box shows what appears in the banner”.
- Description — a short intro.
- Show Tournament Badge — needs a linked tournament.
- Show Deadline — needs a deadline, which you set at publish time.
- Instructions — “Eligibility, weigh-in times, anything applicants must read first…” A blank line starts a new paragraph.
- Requirements — the list of things to have ready, such as a passport-size photo. This is the only warning an applicant gets that a file will be asked for, so fill it in properly.
- Documents — rules, regulations or schedules to attach. PDF, up to 10 MB each.
Forms in more than one language
Section titled “Forms in more than one language”- In the builder, switch to the Translations tab. The badge tells you how many extra languages are configured.
- Add language offers Sinhala (සිංහල), Tamil (தமிழ்) and Chinese (中文). Those three are the only options — there is no way to add any other language. English is always on and cannot be removed.
- Click a language to open its table. English on the left, your translation on the right, covering the form header, section titles, field labels, placeholders, helper text, dropdown options, requirements and document names.
- Each language has a progress bar (“12/40 strings”) and an on/off switch. Only enabled languages appear in the applicant’s language switcher, and untranslated strings fall back to English. An enabled language that is not finished carries an amber warning triangle.
Drafts
Section titled “Drafts”Forms → Drafts lists every unpublished form, with a search box and a sort by Last edited (newest), Last edited (oldest) or Name A–Z.
The row menu offers Edit, Rename and Delete. Delete is hidden unless you have the permission to delete forms, and is confirmed by a Delete Draft dialog. You can also select several and delete them from the selection bar.
Deleting a draft really does delete it, permanently.
Publishing
Section titled “Publishing”Press Publish. Two things can happen before the wizard even opens:
- Sqoura may notice the field order looks wrong and offer Cancel, Publish anyway or Fix order & continue.
- If the form has no smart field at all, it refuses outright: “Cannot Publish Form — A Competition Registration block is required. Add it from the Smart Fields panel.”
The wizard is five steps: Tournament → Payment → Applications → Settings → Share.
Step 1 — Tournament
Section titled “Step 1 — Tournament”Pick the tournament. Continue stays disabled until you do. The panel summarises exactly what will be pulled in — disciplines, how many Taolu age groups, whether optional and compulsory routines are configured, how many Sanda weight bands. “Athletes will only see options that match this tournament’s configuration.”
If the form was already linked, the wizard opens at step 2. You can still press Back.
Step 2 — Payment configuration
Section titled “Step 2 — Payment configuration”Turn Collect Payment off and registration is free. Turn it on and you set an Amount and a Currency.
On a form that allows teams you also choose Per athlete or Fixed total, and the line underneath spells out the arithmetic, such as “Total = LKR 2500.00 × number of athletes”.

Step 3 — Map application fields
Section titled “Step 3 — Map application fields”This step connects your form’s questions to the key places on the application page your staff will read. Required slots must be mapped before you can continue; optional ones can be skipped if you do not collect that information.
The slots are Team Name, Contact Email, First Name, Last Name, Date of Birth, Gender and Email Address. Smart-field slots are mapped automatically and disappear from this list.
Every unmapped slot offers a one-click add that creates the right field, in the right section, in the right position, and maps it — without leaving the wizard.
This is also the step that hard-blocks publishing, under the heading “This form cannot be published:”.

Two further refusals can only be raised when you press the final button: a section scoped to a registration type the form no longer allows, and a team form with no repeatable member section visible to teams.
Step 4 — Registration settings
Section titled “Step 4 — Registration settings”- Registration Deadline — required. A date plus a time, defaulting to 23:55. Past dates are refused, and the deadline cannot be later than the tournament’s start date. Once set, a line reads “Form will be open for 12d 4h”.
- Maximum Submissions — Unlimited is on by default. Turn it off to type a cap.
- Show on our public page — on by default. It lists the form at your organisation’s public address. The direct link works either way.
- Show identity numbers on the downloadable application — off by default, and worth leaving off: “Turn it on only if your accreditation desk checks the number against the printed page — otherwise it is one more copy of it in circulation.”
- Email notifications for this form — on by default. Subscribed staff are notified about submissions, payments and status changes.
If the form was previously closed, the refusal explains that and offers Reopen registration and publish in place — provided you hold the permission to reopen registration.
Step 5 — Share
Section titled “Step 5 — Share”Your Form is Live! gives you:
- the Share URL with a Copy Link button;
- a QR code with Download QR Code — “Print this code for distribution at your venue”;
- a summary card showing Form closes, Tournament and Submissions allowed;
- View Live Form, which opens it in a new tab.
Done returns you to Published Forms.
Templates
Section titled “Templates”Save as Template in the builder asks for a Name, a Description and a Category — Complete Registration, Taolu Registration, Sanda Registration, Membership, Coach or General. It saves the current form first, so nothing unsaved is lost.
Forms → Form Templates lists them, with filters by category and by audience, a sort by Newest first or Name A–Z, and a search box. Each card offers Use Template, which creates a new form from it and opens the builder, plus a menu with Rename, Edit, Duplicate and Delete. Delete is hidden without the template permission.
When you are editing a template itself, the toolbar changes: Back to Templates and Save Template, with no Publish button and no Translations tab.
Managing published forms
Section titled “Managing published forms”Forms → Published Forms lists the form name with its Individual or Team badge, the tournament, submissions against the cap, the deadline with a “closing soon” warning, and the status — Open or Closed.
The row menu offers:

There is also a hover copy link icon beside each name, and a hover pencil
on the deadline that opens Edit deadline. Moving a passed deadline forward
reopens the form — “Deadline updated — “
Ticking rows reveals an Export CSV button. That one writes a summary row per selected form — name, tournament, submissions, cap, deadline, status. It is not an export of the submissions.
A single form’s submissions
Section titled “A single form’s submissions”Clicking a form name opens its submissions: a header card with the title, an Open or Closed badge, the registration type, the deadline, the count against the cap and a capacity bar, plus a link to the tournament. You can search by name or email, filter by status and change the page size.
Limits worth knowing before you build

Two more things that catch people out:
- Gender is required on every form, always. Date of birth is required whenever the tournament has age groups, which is nearly always, because the Age Group field is derived from it.
- Editing the tournament later does not mean republishing the form — options are resolved live. But removing an option somebody has already chosen flags their registration for a mandatory correction. See Reviewing entries.
